Privacy Policy

Last updated: 12 October 2026

This Privacy Policy explains how PickPos handles personal data when you visit pickpos.net, contact us, create an account or use our subscription services.

1. Who is responsible for your data?

PickPos is responsible for personal data used to operate its website, subscriptions, billing, support and security. For personal data entered by a customer inside a tenant account, that customer generally decides why and how the data is used, while PickPos provides the hosted service and acts as a processor or service provider.

2. Data we collect

  • Account and contact data, such as name, company, email address, telephone number and login information.
  • Subscription and transaction information, including package, payment status and payment references. Full card or wallet credentials are handled by the selected payment provider, not stored by PickPos.
  • Support and communication data, including messages, tickets and uploaded payment evidence.
  • Technical and usage data, such as IP address, browser, device, timestamps, logs and security events.
  • Business data entered into a tenant account by the customer and its authorised users.

3. Why we use personal data

We use data to create and administer accounts, provide subscriptions, process and verify payments, deliver support, secure and troubleshoot the service, prevent abuse, communicate operational information, improve the platform and comply with legal obligations. Depending on the activity, processing may be necessary for a contract, a legal obligation, legitimate interests or consent.

4. Business records and fiscalization

PickPos may host sales, purchase, payment, inventory and report data entered by the customer. PickPos does not fiscalize these records and does not submit them to tax authorities. The customer determines the legality, accuracy, retention and any required transfer of these records to a certified fiscalization solution or public authority and is responsible for meeting its tax and reporting obligations.

5. Cookies and similar technologies

We use cookies that are necessary for sessions, security, language preferences and core functionality. Analytics or marketing technologies, when enabled, should be used in accordance with applicable consent requirements. Browser settings can be used to manage cookies, but disabling necessary cookies may prevent parts of the service from working.

6. Who receives data?

Data may be shared only as needed with hosting and infrastructure providers, email and support providers, payment gateways, professional advisers, integration providers selected by the customer, and public authorities where legally required. Providers receive only the information needed for their role and are expected to protect it.

7. International processing

Some providers may process data outside your country. Where required, appropriate safeguards are used for international transfers, taking account of the provider, destination and applicable law.

8. How long data is kept

We retain account, transaction and support information for as long as needed to provide the service, meet accounting or legal requirements, resolve disputes and maintain security records. Tenant data is retained while the account is active and for a limited period after termination or backup rotation, unless a longer period is legally required. Retention depends on the data type, purpose and legal obligations.

9. Security

We use organisational and technical measures intended to protect personal data, including access controls, encryption where appropriate, backups, logging and system maintenance. No online service can guarantee absolute security. Customers are responsible for strong credentials, appropriate permissions and secure devices.

10. Your rights

Subject to applicable law, you may request access, correction, deletion, restriction, objection, portability or withdrawal of consent. You may also complain to the competent data-protection authority. Requests concerning data entered by a tenant should first be directed to the organisation that controls that tenant.

11. Children

PickPos is intended for businesses and authorised adult users. We do not knowingly offer the service directly to children.

12. Changes to this Policy

We may update this Policy when our services, providers or legal obligations change. The latest version and update date will be shown on this page.
